The End of Tops Pro Software Support: Important Changes Ahead

Share article

I recently spoke with a representative from Tops/Enumerate, confirming that support for Tops Pro software – via calls or emails – will end after July 1, 2025. There have also been no recent patches or upgrades. They also said customers are strongly encouraged to transition to a different software solution before this deadline to ensure they are using a system with support.

For more information about the discontinuation of Tops Pro, refer to our previous article: Tops Pro and IQ Discontinuing by the End of 2024.

A Brief History of Tops Pro Software

Tops Pro has been a trusted tool in property management for homeowners and condo associations for decades. Initially a DOS-based system in the 1970s, it evolved into Tops Professional (Tops Pro) and later introduced Tops IQ in 2010. Its affordability and features made it a popular choice for many.

However, changes—including the sale of a significant stake to a private equity firm—shifted the focus to a cloud-based application, Tops One (now Enumerate). This transition aims to move legacy customers to a recurring revenue model, replacing the traditional annual maintenance fee.

The Risks of Continuing with Tops Pro

Users can continue using Tops Pro for now, but if the software fails to perform simple functions troubleshooting and setup assistance will no longer be available. We have experienced issues where statements are not emailed to all owners correctly, and sometimes homeowner or vendor payments do not post properly which causes errors with AR, AP, and financial reporting inaccuracies.  Over time, the software may become more unstable. To make matters worse we have noticed a steady decline in support response times for Tops Pro.

Tops Pro users may also face significant risks, primarily security vulnerabilities. Outdated software becomes a target for hackers, and without updates or patches, sensitive data—such as tax IDs and bank information—may be at risk.

Benefits of Transitioning to New Software

Switching to cloud-based software provides several benefits:

Automatic Updates and Security: Cloud providers handle updates, ensuring the latest security features.

Accessibility: Software can be accessed from anywhere, keeping board members and homeowners connected. Cloud programs include homeowner portals, where owners can see their account balances, make payments, and update their contact information, for example.

Integration: New software often integrates better with other systems, improving the timeliness of accounting information (e.g., seeing real-time information online) and reducing the possibility of data entry errors.

What Are Your Options?

Explore new property accounting and management software: Consider software like Smartwebs, QuickBooks, or Tops One/Enumerate Central. We chose Smartwebs, which we find easier to use than the others.

Hire a Financial Manager: If accounting isn’t your strength, a financial manager can assist with financial management.

Transition to Community Financials: Community Financials offers tailored financial management services for HOAs and condo associations, plus we include software and setup in our offering.

As the July 2025 deadline approaches, it’s crucial for Tops Pro users to evaluate their options and make informed decisions to ensure their communities continue to operate smoothly without inaccurate accounting or other disruptions.
